3. What personal data is collected and for what purposes?

The personal data collected about you on our platform is intended for the sole use by ECOMAIL and may be transmitted to subcontracting companies that ECOMAIL may engage in the execution of its services. They may also be transmitted to comply with any judicial requisition, subpoena, or similar government or judicial requirement, or to establish or defend a legal claim.

ECOMAIL does not sell or rent your personal data to third parties for marketing purposes, under any circumstances.

If ECOMAIL or any portion of its assets is acquired by a third party, the data in our possession may, if applicable, be transferred to the new owner.

We transfer and store your data within the European Union.

The subcontractors involved in data sharing are:

ILLIAD: Our hosting servers and infrastructure backups are carried out on machines located in ILLIAD data centers. Technical data (emails) is thus backed up on machines belonging to the SCALEWAY company, which is part of the ILLIAD group. The Ecomail team is the only one with access to these backups, which are encrypted on disk.

ECL DIRECT SAS (AMARRIS Direct Group): Your personal data may be transferred to the company ECL DIRECT for accounting purposes and the fulfillment of our accounting obligations. Invoices containing your personal information are sent directly to the accounting department of ECL DIRECT.

MAILCHANNELS: We use MAILCHANNELS services for outgoing email routing and outgoing spam blocking. The content of emails is not retained or stored. Emails are analyzed to block potential spam. The outgoing email routing servers are located in SWITZERLAND and comply with EU standards.

CRISP: We use Crisp services for technical support processing. Conversations with technical support are retained by the service, including the corresponding email address, name, and surname. Crisp is a French company based in France.

5. How are your personal data protected?

ECOMAIL implements generally recognized technological and organizational security measures to ensure that the personal data collected is not lost, misused, accessed, modified, or disclosed by unauthorized third parties, unless the communication of such data is required by current regulations, particularly at the request of a judicial authority, police, gendarmerie, or any other authority authorized by law.

The security of personal data also depends on the Users. Users commit to maintaining the confidentiality of their username and password, and also undertake not to share their account and to report to ECOMAIL any unauthorized use of their account as soon as they become aware of it.

The data stored in the database (name, first name, address, etc.) is encrypted to make it unreadable by anyone or any entity without the decryption key.

7. What is the data retention period?

We retain data about you from the creation of your customer account until your request for account deletion. In the event that you do not renew your subscription, your data is deleted from our production servers 3 months after suspension. They are still retained in our backup archives for an additional 1 year.

8. What are your rights?

In accordance with current regulations, users of our platform have the following rights:

- Right of access and rectification;
- Right to update and complete user data;
- Right to lock or delete personal data of users when they are inaccurate, incomplete, ambiguous, outdated, or when the collection, use, communication, or retention is prohibited;
- Right to withdraw consent at any time;
- Right to limit the processing of user data;
- Right to object to the processing of personal data;
- Right to data portability for data provided by users when such data is subject to automated processing based on their consent or a contract.
